Background: Running elections in a large jurisdiction

Fairfax County is Virginia's most populous jurisdiction. The Office of Elections manages voter registration, election officer (poll worker) recruitment, and the complex logistics behind every election cycle. Behind those operations is a layer of data intake: applications, surveys, internal requests, and public-facing forms that must all be accurate, secure, and efficient.

Before Fillout by Zite, the office relied on a patchwork of form tools — SurveyMonkey, Jotform, and native Airtable forms — none of which gave the team the flexibility and data quality they needed.

The Challenge

Each tool the team tried came with significant limitations:

  • Jotform did not integrate well with Airtable and led to data issues
  • Native Airtable forms were too limited — no way to format questions, perform data validation, or add contextual information before or after questions
  • SurveyMonkey lacked the flexibility to structure forms and feed data directly into their existing systems

The office needed a solution that felt like “Airtable forms on steroids” — full design control, robust data validation, and a seamless connection to their Airtable-based operations.

We previously used Jotform, but it did not integrate very well with Airtable and led to data issues. Then we used native Airtable forms, but it was very limited in the way we could format questions, perform data validation, or add additional contextual information.

Discovering Fillout by Zite

Ravi first heard about Fillout on the r/airtable subreddit — mentioned so frequently that he was surprised he hadn't discovered it sooner. After evaluating the platform, several features stood out:

  • Ability to add and format paragraph information before questions
  • Data validation on form fields
  • Address autocomplete — ensuring properly formatted addresses while saving time for users
  • Signature fields to streamline collecting required oaths from election officers
  • Native Airtable integration — all forms feed data directly into Airtable with a seamless setup

None of them has excited me as much as Fillout has, nor given me the flexibility to structure my form and have it feed into Airtable as well as Fillout has.

Automating election officer applications

One of the most impactful deployments was a new election officer (poll worker) application process built entirely in Fillout by Zite. The new system replaced a largely manual workflow:

  • Automatic eligibility checks — applicants are evaluated against requirements without manual review
  • Automated email communication — confirmation and follow-up emails are sent automatically when someone applies
  • Direct Airtable sync — all application data flows into the team's existing operational databases

Work that used to require a staff member to manually review each application and send individual emails is now fully automated.

Now, a lot of the work we used to do by hand, like checking if applicants meet our requirements and sending out emails automatically when someone applies, is done for us. This has really helped us save time and resources.

Replacing paper forms across the office

Beyond election officer applications, the team is now using Fillout by Zite to replace paper forms across the office. All forms feed into Airtable through a seamless integration that was easy to set up.

The team reports using every feature Fillout offers — from address autocomplete and signature fields to conditional logic and multi-page forms. Each feature helps the office be more efficient with taxpayer resources.

I really like the address autocomplete feature – it makes it SO much easier to know we are receiving properly formatted addresses and it saves time for our users too.

Seamless Airtable integration

A core part of Fairfax County's workflow is the deep integration between Fillout by Zite and Airtable. All forms feed data directly into Airtable, and the integration was simple to set up.

Once a service account was created in Airtable, it became seamless to add access to additional bases and tables. The team uses the integration constantly — every form feeds into their operational databases.

Fillout is saving us time and money. As a government agency, it’s important that we be efficient in our resources and Fillout is helping us do exactly that, while also providing more features than previous products we tried.
