How it works

SmartSuite organizes work in tables of records, such as projects, customers, and requests. Connect SmartSuite to your Zite app to read and update those records while keeping the data in SmartSuite. App visitors don’t need their own SmartSuite accounts; your app uses the account you connect. By connecting SmartSuite, you can:
  • Find, filter, and display records from your SmartSuite tables
  • Create records from information people enter in your app
  • Update existing records, such as a project’s status or assigned person
  • Work with links between records
  • Move records you no longer need to SmartSuite’s trash

How to integrate SmartSuite into your app

1

Connect to SmartSuite

You need permission to edit the app and a SmartSuite plan that includes API access, which allows another tool to read and update your records. Ask Zite to connect your app to SmartSuite, or click + in the chat box, select Integrations, then choose SmartSuite. In SmartSuite, open your profile menu and choose API Key. Enter the key and Workspace ID in Zite’s connection dialog, then select Connect; the dialog links to instructions for finding both values.
2

Describe your use case

Tell Zite which SmartSuite solution and table to use and what your app should show or change. For example, “Show projects assigned to each team member and let them update the status without changing the project name or budget.”Zite can look up the tables and fields available to your connection. Explain who should see each record and which actions they should be able to take.
3

Test and publish

Display a sample record and compare it with SmartSuite. Update one field through your app, then check SmartSuite to confirm the change and that other fields stayed the same; testing changes the real record.Check that visitors see only the records and actions intended for them. Click Publish in the upper right corner when the app works as expected.

Common use cases

With a SmartSuite connection, you can create apps like:
  • Project Trackers: Show assigned projects and let team members update their progress
  • Client Portals: Give clients access to selected project information held in SmartSuite
  • Request Forms: Create records in a SmartSuite table when someone submits a request
  • Operations Dashboards: Filter and display records from your team’s existing tables

Important notes

  • Account access: The key has the same access as the SmartSuite account it belongs to. Your app acts through that account; connecting it does not give each visitor a separate SmartSuite account or automatically limit what they can see.
  • Plan requirements: Your SmartSuite plan must include API access for both reading and changing records. If the plan excludes it, reconnecting will not resolve the problem.
  • Live data: This connection works with records in SmartSuite rather than importing a separate copy into Zite. Changes made through your app affect those records, and deleted records move to SmartSuite’s trash.
  • Table requirements: Records must follow the table’s required fields and available choices. Tell Zite what information you want to collect so it can use the table’s existing fields.
  • Calculated fields: Formula, lookup, rollup, count, and automatically generated fields are read-only through this connection. Update the source information instead of trying to overwrite a calculated result.
  • Busy connections: SmartSuite limits how quickly an account can make requests. If the connection is temporarily limited, wait at least 30 seconds before trying again; for repeated problems, ask Zite to reduce how often the app checks records.
