Organization admins can open Files in each workspace to review that workspace’s uploaded files and permanently delete files they no longer need. Workspace editing access alone does not open this page. The File storage meter on Billing & usage shows how much storage the organization uses. Newer organizations are already tracked. Older organizations see the heading Track your file uploads and the button Start tracking file uploads.

Check storage on Billing

  1. Open the organization name, then Settings, then Billing & usage.
  2. In Usage, find the Storage section, then the File storage meter.
  3. The meter shows used storage against the plan allowance, in gigabytes. Its subtitle is Database attachments, app uploads, and generated PDFs.
  4. If the Start tracking file uploads button appears, select it to count existing files. Counting can take a few minutes. You can leave the page while it runs.
This reading is the organization’s total, not the size limit for one upload. Open Files in a workspace to review or delete files. When a form saves a file to a Zite database, Zite copies that file into the database. The copy counts once as a database attachment. Files that stay only on a form, and are not saved to the database, do not count towards storage. The copy can be up to 5 GB, even if your plan’s per-file limit is lower.

Open Files in a workspace

  1. Open the workspace.
  2. Select Files in the workspace sidebar. In the compact sidebar, open More, then Files.
  3. If the heading Track your file uploads appears, select Start tracking file uploads. Counting can take a few minutes. You can leave the page while it runs. You start this once for the organization; you do not start it separately in every workspace.
When counting finishes, the page lists the workspace’s stored files, or shows No files yet if there are none. Open Files in each workspace to review that workspace.

Find files

Files are labeled Database attachment, App upload, or Generated PDF. The list shows each file’s name, size, and upload date. Use Search files… to search by name. Open Filter to narrow the list: These filter choices appear where matching files are available. Click Size or Uploaded to change the sort order. Use Previous and Next to move through the results. The usage filter helps find files to review; check the deletion warning before removing them, because links in apps may still rely on them.

Preview or open a file

On a wide screen, clicking a file in Files selects it and shows a preview beside the list. Double-click to open it. On smaller screens, a single click opens the file directly. You can also open the row’s … menu and choose Open file to open it in a new tab.

Select several files

Use the checkbox beside each file, or hold Shift while selecting a range on the current page. In the workspace preview layout, you can also hold Command on Mac or Ctrl on Windows and click files to add them to your selection. Files are listed 50 per page. The header checkbox selects the current page. If more results are available, a banner lets you select all matching files. Select all selects the first 1,000. That 1,000 limit is a selection cap, not a display cap. Your selection carries over between pages but clears when you change the search, filters, or sort order. If you already have file links, click Select files by link and paste up to 1,000 links, one per line. Zite adds matching stored files to your selection. Links to files from other workspaces are not selected.

Delete files

Deleting a stored file is permanent. Restoring a database backup will not bring it back. Apps that link to the file will show it as missing, and links to a deleted PDF will stop working.
1

Choose the files

For one file, open its … menu and choose Delete file. For several files, select them and click Delete in the selection bar.
2

Review the checks

Zite checks whether records still use the files. Files in use, including those used by records in the trash that can still be restored, are kept. Files that cannot be checked are also kept.A file used only by a deleted field can be deleted if the checks find no other record using it. The dialog warns that restoring the field will show the file as missing.
3

Confirm and check the result

Review the warning and the number of files that will be deleted, then click Delete file or Delete with the file count. Zite confirms successful deletions. Files that are still in use or could not be deleted remain in the list.
If a file is still in use, remove it from the records that use it before trying again. Deleting a record does not immediately make its files available for deletion if that record can still be restored.
Duplicated workspaces may share files. For files used only by deleted fields, Zite also checks the organization’s other databases and keeps files still used there. This is not a check of every link in every workspace. Review copies of the workspace and any apps that link to a file before deleting it.
For automatic cleanup after you delete database records, see Delete uploaded files. For help with a file that cannot be removed, contact support@zite.com.
